Description

The Department of Medicine is seeking a dynamic Administrative Assistant III to work closely with the Principal Investigator. This role entails a range of essential tasks, including efficiently managing incoming phone calls, directing inquiries to the appropriate parties, and providing valuable assistance to patients. You'll also be involved in the comprehensive process of data handling, encompassing collection, entry, reporting, management, and analysis. In addition to your data-focused responsibilities, you'll play a vital role in supporting the research team with various administrative functions. This may involve aiding in the creation of reports for the Principal Investigator, relevant agencies, and data analyses. You'll also be instrumental in developing presentations, manuscripts, regulatory documents, and project budgets. As a key contributor, you'll take charge of organizing local research symposium meetings and special seminars. This will encompass not only coordinating with vendors but also utilizing your creative skills to design compelling research brochure materials. Ensuring the smooth operation of the laboratory, you'll handle the coordination of lab supply orders and maintenance. Target hourly rate: $28.23-$40.44

Qualifications

Required: •Strong interpersonal skills for interaction to communicate diplomatically and effectively with faculty, peers, patients, physicians, collaborators, researchers, administrators, and University faculty and staff. •Demonstrated skill in problem solving, prioritizing assignments to complete work in a timely and efficient manner, and maintaining confidentiality of data and using discretion and judgment in responding to inquiries and releasing information. •Ability to work as a team and work independently with minimal direction. •Demonstrated skills in using PC computer, MS Word, MS Excel, PowerPoint, PRISM, Endnote and other references applications, Internet and Windows applications. •Prioritization skills to complete work in a timely manner when there are changes in workload, assignments, and deadlines while recognizing the relative importance of various job responsibilities. •Excellent writing skills to compose and edit logical, detailed, comprehensive, and grammatically correct correspondence and e-mails using correct spelling, and punctuation. •Skill in preparing Pre-Trip Authorization (PTA) for airfare booked through UCLA Travel and paid by direct billing. •Good general office skills such as maintaining calendar, developing & maintaining filing systems, dealing with mail, checking voicemail, returning phone calls, etc. Preferred: •Skill in working with patients. •Skill in using UCLA Travel's Express online travel expense reimbursement program. •Care connect •CITI training
